Our Intake Process, Step by Step

We know that signing up for ABA services is a big decision, and we are honored that you have chosen to start your journey here at Roots! Here's what to expect during the intake process. We're with you, every step of the way!
1) Sign up for our Parent Portal here: https://parents.finnihealth.com/roots-aba-services/signup
Our journey together begins with gathering some basic contact and demographic information. You will be prompted to create an account through Finni Health (our processing team). One of our BCBAs will contact you to ask a few questions and determine if we will be a good fit for your child and family's needs.
2) Gather your Documents:
Next, we will need the following documents from you:
Your child's insurance ID number and an image of your child's insurance ID card
A copy of your child's most recent psychiatric assessment/diagnostic report
A referral letter from your child's pediatrician for ABA services
These can be uploaded to the Parent Portal, or emailed directly to your BCBA.
3) Insurance Approval #1: Intake
Once we have received your documents, we will submit a request to your insurance to schedule and intake meeting. This can take 2-4 weeks, depending on your insurance company. No action is required from you at this step.
4) Intake Meeting/Assessments
As soon as your insurance has given approval, we will call you to schedule the intake meeting! This meeting is typically around 2 hours long. Your BCBA will come to your home and interact directly with you and your child. She will run several assessments to determine your child's present skills and areas of need. The BCBA will ask you questions in order to understand your child's unique personality and pinpoint your family's specific areas of need. You may be asked to fill out questionaries about your child's skills and behaviors as part of the assessment process. Your BCBA will answer any questions you may have, and offer guidance on next steps.
5) Insurance Approval #2: Authorization For Services
Following the intake meeting, the BCBA will use the data gathered from assessments to formulate a treatment plan that is individualized for your child's needs. This plan will guide our approach to helping your child grow with us! Once you have signed this plan, we will send it to your insurance company for approval.
Timelines on approvals vary by insurance company, but a typical wait time is 3-6 weeks.
As soon as we receive the authorization for services, we can begin working with your child!
